Learning Experience Coordinator

In a challenging, international and dynamic environment   

Part-time 28 hours/week, hybrid/Haarlem, temporary role for 6 months, starting asap  

 

Purpose of the position 

The Learning Experience Coordinator ensures smooth, efficient and cost-minded running of courses, with a focus on continuous improvement to the quality of overall customer experience (for scheduled courses, customized trainings and coaching, any format offered). 

 

Your key responsibilities

Course Coordination  

  • Plan and manage the (scheduled/customized) course calendar and scheduling. 
  • Oversee admissions and course administration (e.g., participant records, attendance, certificates, and course updates). 
  • Prepare and update participant materials, including welcome packs, website content, and online platform information. 
  • Provide course-related information and guidance to potential and enrolled participants. 
  • Ensure compliance with accreditation standards (NLQF, COBRK, ISO). 

CRM Management  

  • Maintain and optimize CRM workflows, templates, and participant records. 
  • Ensure accurate data entry and updates in the CRM system for participants and relevant contacts. 

Administrative Tasks  

  • Coordinate and negotiate contracts with suppliers for venues, catering, and other services. 
  • Monitor and execute the operational budget and tracking costs. 
  • Manage course logistics, including travel arrangements for participants and staff. 
  • Ensure adherence to internal health, safety, and security standards for all courses. 
  • Maintain proper storage and organization of course materials and documentation. 
  • Oversee SharePoint organization and documentation processes for easy accessibility. 

 

What you bring  

  • A Bachelor’s degree or higher in a relevant field;
  • 3-5 years of experience in operations, training coordination, or customer support;
  • Experience working with international teams and customers;
  • Excellent organizational and multitasking skills to manage multiple priorities;
  • Proficiency in CRM tools (Zoho experience is a plus) and digital platforms like SharePoint;
  • Strong problem-solving skills and attention to detail;
  • A proactive, self-sufficient, and resourceful approach to work.

At RNW Media we have a competitive Compensation & Benefits package. This job is graded in salary scale 6 (€ 2.949,84 – € 4.074,90). Your salary and placement within the scale will be dependent on experience and expertise. We offer a temporary role for 6 months, with no guarantee for renewal.
